Job Title:
WFH Virtual Assistant – Business Operations, Financial Analysis & Team Oversight (Retail & Restaurants)
Location:
Remote (India-Based) | Full-Time | Monday to Saturday
Working Hours: 6:00 AM – 3:00 PM CST
Position Summary:
We are seeking a highly analytical and proactive Virtual Assistant to support the business owner of a fast-growing retail and restaurant group in the U.S. This critical role blends day-to-day operations support with financial and team oversight. You will coordinate across departments—ensuring smooth workflows, performance accountability, and operational excellence.
You will act as a bridge between the business owner and various teams including admin, marketing, accounting, and store operations. If you’re organized, solutions-driven, and experienced in cross-functional coordination, this is a dynamic role with growth potential.
Key Responsibilities:
Team Performance Oversight
- Serve as a communication and performance liaison between the owner and:
- Admin Assistants (Retail & Restaurant)
- Marketing Team
- Accountant
- Operations Managers
- Review task completion, quality, and timelines across departments
- Maintain performance dashboards and highlight gaps or delays
Operations Monitoring & Reporting
- Validate daily reports: sales summaries, pricing updates, order entries, payroll data
- Review Daily Activity Reports (DARs) from stores and restaurants
- Identify recurring issues and recommend process improvements
Communication & Administrative Coordination
- Manage email communications on behalf of the business owner
- Ensure inter-team follow-up and task progression
- Maintain internal SOPs, documentation, and task checklists
Financial Oversight & Insights
- Analyze monthly and quarterly Profit & Loss (P&L) statements
- Track gross margin, labor cost, COGS, rent, and utilities
- Collaborate with the accountant for actionable financial insights
- Recommend strategies for cost reduction and revenue improvement
Marketing & Campaign Oversight
- Monitor posting schedules and social media campaigns
- Coordinate GMB updates, promotions, and reputation management
- Review marketing performance reports and calculate ROI
Hiring & Onboarding Support
- Draft and post job listings on Indeed or similar platforms
- Manage applicant tracking and onboarding workflows
- Maintain updated records of team structure and new hires
Expense Tracking & Optimization
- Monitor expenses across departments and locations
- Identify discrepancies or cost-saving opportunities
- Recommend improvements to ensure expense accuracy and control
Required Skills & Experience:
- Minimum 3 years of experience in virtual assistance, operations coordination, or financial support roles
- Prior experience in retail or restaurant operations is a strong plus
- Proficiency in basic financial analysis and P&L understanding
- Fluent English—both written and spoken
- Tech-savvy: Google Workspace, Microsoft Excel, and tools like Asana, Trello, or Notion
- Meticulous attention to detail and a data-driven, proactive approach
- Ability to manage competing priorities independently and reliably
- Dedicated workspace free from interruptions
- High-speed internet connection
- Own laptop or desktop computer with necessary software
